Job Purpose

The primary purpose of this role is to support the People Business Partner in delivering the People agenda to the Distribution Centre.  The People Advisor will primarily do this by supporting the site management team to develop the capability of their people and provide generalist People support with a focus on employee relations. 

Key Responsibilities:

Recruitment & Selection
Ensure vacancies are filled in a timely manner with correct calibre candidates
Work with the management team in ensuring we have the right structure and supporting through recruitment processes.
Manage the application process and online tracking system
Support and coach managers with interviews
Organise and facilitate assessment centres
Liaise with external recruitment agencies where required to recruit specialist or difficult to fill roles
Coordinate new joiner documentation, induction and probationary period

Engagement & Retention
Build appropriate relationships across the site to drive a culture of feedback and continuous improvement to aid employee engagement
Support the site management team in driving relationships with employee forum reps and Union.
Drive internal communications across the site ensuring key site and business messages are cascaded in the appropriate form
Drive engagement on the site on the internal communication system.
Manage site People KPI’s including labour turnover and absence, analysing KPI’s and proactively
Work with line managers to identifying trends and patterns whilst looking for solutions
Support the PBP with the reward and recognition scheme local and corporate.

Employee Relations / Absence Management

Be the ER expert on site , confidently advising on all ER issues and be actively involved in managing the processes from start to finish including performance improvement, disciplinary (including potential dismissal cases), grievance and mediation and absence
Support as required in preparation for and be involved in any ET claims
Ensure line managers are effectively briefed on any relevant changes to company policies and procedures ensuring we operate a culture of equal opportunities with fair treatment to all
Monitor sickness absence rates in accordance with the Company policy, taking a proactive approach to absence management, identifying wellbeing initiatives that help minimise absence levels and costs to the business
Ensure managers are following the absence management process, monitoring any trends or patterns and supporting with absence management meetings where required.
Support and coach managers with long term sickness, writing to GPs and referring employees to occupational health as required, requesting specific information to support the employees return to work and advising on appropriate rehabilitation to work programmes.
Oversee and coordinate the process of rehabilitating employees on light duties back to normal work duties. Advise team leaders with routine reviews
Manage maternity paternity and shared parental leave cases, ensuring employees have all required information, all relevant documentation is forwarded to Payroll and appropriate plans are in place when employees return from maternity or shared parental leave to re-induct them back into work.
Advise and coach managers and team leaders through the performance management process as required, liaising with the support analyst to provide accurate data and documentation and ensuring accurate up to date records of all performance review activity with appropriate follow up actions.
Ensure the completion of all paperwork associated with an employee’s termination from the business, to include; resignation letter on file, signed confirmation of returned company property and completed leavers form sent to Payroll.
Carry out one to one exit interviews and ensuring information received is fed back to the People Business Partner.

Training & Development
Support and coach managers with the PDR process and act as the first point of call for any PDR or system queries.
Work with the management team and PBP to identify key training needs including designing and delivering local training where relevant
Organise and schedule training programmes/venues to include accommodation and travel where required.
Maintain accurate People systems of all training activity completed by the management team.
Manage the evaluation process of all training sessions.
Coordinate Apprenticeship assessment days and ensure all learners are supported by a structured mentors programme

Admin Team Management
Working collaboratively with the Admin/Payroll and Reception team, holding regular departmental meetings, act as an escalation point for queries and manage holiday and sickness absence cover
Provide management team with regular updates and information on payroll and attendance
Drive and maintain a high level of customer service across the team
Review processes and systems to ensure fit for purpose

Key Health and Safety Responsibilities
Your duties as an employee are to:

Person Specification

People experience at Advisor level within a fast paced blue collar environment with a strong employee relations focus
Ability to build effective interpersonal relationships
Credibility to influence and coach a variety of stakeholders at all levels of the business with the confidence to challenge decisions
Ability to demonstrate leadership skills and line management experience
Self-motivator with experience and confidence to ‘own’ the role
Energetic with charisma and dynamism

The ideal candidate will be educated to degree level or equivalent.
CIPD qualified
Experience of working within a distribution environment
